Full Job Description

This position works collaboratively within the Insurance and Risk Management (RM) team to ensure contract management processes are effectively completed. Primary responsibilities are focused on the completion and quality control of: vendor reporting, contract marketing through directory and website, research and compilation of market intelligence, and current contract documentations required by the Procurement department. Secondary responsibilities include contract training, resource to the bid evaluation team, business development, vendor communications, annual business review and contract marketing at conferences/tradeshows.

Essential Duties and Responsibilities

1. Manages the following aspects of assigned contracts within the Contract Unit:
a. Website Content

  • i. Ideates content and layout for Contract Landing Pages
  • ii. Ensures contract page content on website is accurate and current
  • iii. Ensures content markets contract’s full potential
  • iv. Consults with vendors to maximize Sourcewell website exposure/effectiveness

b. Contract Directory – Consults with contract awarded vendors to ensure

  • i. Listing is accurate and current
  • ii. Listing content is effective and communicates contract’s full potential

c. Quality control of contract documentation

  • i. Determines accuracy of all contract documentation accessible through contract landing pages
  • ii. Receives and organizes price & product change requests, consults with Ins/RM team on requests, and presents requests for approval to Procurement department
  • iii. Determines accuracy of all contract documentation stored in contracts database as a result of product & price change requests, renewals or addendums
  • iv. Facilitates contract renewal and/or contract annual business review and ensures delivery to Procurement department

d. Collection and organization of contract awarded vendor marketing collateral during contract launch cycle

  • i. Ensures marketing collateral meets Sourcewell’s expectations
  • ii. Manages the timeline related to collection of this material

e. Contract sales reporting

  • i. Ensures reports are received, reviewed, analyzed and deemed completed as necessary for finance revenue share process
  • ii. Ensures reports are disseminated internally as required in a timely manner
  • iii. Provides consultative services to Finance department concerning reconciliation between sales report and admin fees received

f. Responds to Member and Vendor inquiries and follows through with appropriate communication, marketing material, or contract documentation as necessary

  • Analyzes member expressed needs, and determines appropriate information to present to member in meeting the needs on behalf of Sourcewell and Sourcewell contract awarded vendors
  • Guides member to appropriate section(s) in the contract documents to assist in answering the members’ questions

g. Supports administration of Sourcewell Risk Management Pool (RMP)

  • Coordinates various group meetings and trainings (i.e. RMPEC, Annual Review Meeting (RMPAC), Business Managers Training, etc.)
  • Prepares and distributes meeting agendas and enclosures

h. Provides customer service for RMP program

  • Communicates via phone, email, and in-person to ensure accurate risk management messages are effectively communicated and embraced by brokers, members and potential members
  • Prepares reports specific to individual RMP member needs

i. Maintains communications and acts as liaison between vendors/contractors’ marketing department and Sourcewell

j. Determines effective market intelligence to provide members or vendors relative to the effective us of Sourcewell awarded contracts

  • Solicits vendor content for Sourcewell Quarterly Newsletter and/or other appropriate periodic member communications
  • iSolicits, collects, proofs, and submits articles on behalf of the contract awarded vendor
  • Ensures article content meets the Sourcewell’s guidelines and expectations, working directly with vendor where revisions are deemed necessary

k. Assist members with insurance applications for cyber liability, health insurance, ancillary coverage and/or additional Sourcewell contracts or programs

Secondary Duties and Responsibilities

1. Assists Ins/RM team with the management of the following aspects of assigned contracts:

  • Coordinates and delivers training for assigned contracts via webcast in the Sourcewell studio and/or through group meetings and presentations
  • Coordinates aspects of an aggressive Sourcewell marketing plan in support of vendor established goals and measures for serving our members
  • Utilizes market intelligence to research potential respondents during the Business Development cycle
  • Communicates the value of the Sourcewell competitive bid process and resulting contract(s) to potential vendors
  • Coordinates aspects of contract refinement for the betterment and increased embracement by members and vendor
  • Facilitates and ensures completion of the quarterly and annual business review processes
  • Coordinates aspects of the pre-bid meeting
  • Participates in bid-opening meetings
  • Coordinates aspects of vertical or member advisory committee development and ensures execution of effective communication to include collecting and maintaining records of quarterly note
  • Coordinates aspects of tradeshow/conference presence (which may include in-frequent attendance at such events) to include:
  • Booth messaging and planning
  • Booth location selection
  • Presentation application
  • Facilitates an effective distribution program for Sourcewell promotional marketing materials
  • Coordinates and ensures all aspects related to an effective contract launch have been completed

2. Assists Ins/RM team in the process of business development

  • Assists with the research and communication of prospective respondents relative to the scope of RFP category, utilizing market intelligence and other strategies in this endeavor
  • Assists with the final RFP document messaging, specifically scope refinements, dates, and industry/sector specific questions

3. Other duties as assigned

Additional Job Description:

Required Qualifications

  • Associate degree in related field of study, AND
  • Minimum of two years of experience in sales and/or marketing or contract experience in a business professional environment OR
  • A combination of related post-secondary and/or professional education and demonstrated account management, inside sales or other comparable business professional experience equivalent to a total of 4 years AND
  • Ability to obtain insurance license within 6 months AND
  • Valid MN Driver’s License

Preferred Qualifications

  • Bachelor’s Degree in a related field
  • Two years of experience in advanced customer service, inside sales or account management
  • Active insurance license for Life/Health and/or Property/Casualty
