Job Title: Regional Office Coordinator (FHI Clinical) – Fixed-Term (6-7 Months), Hybrid / Part-Time in Office
Location:  Centurion, Gauteng

Position description

Summary of the Position:

To establish the efficient running of and maintain full administrative support for the Company branch office, and if applicable to support clinical project teams in reaching the required project goals. Work within assigned parameters and timeframes in order to achieve company objectives within set timelines.

Essential Functions:

  •  Attend to visitors, clients, vendors in a courteous and efficient manner.
  •  Answer switchboard and screen calls where necessary in a courteous and efficient manner, take and transmit messages accurately.
  •  Arrange & coordinate teleconferences as requested.
  •  Assist with bookings and organization of conferences and meetings and coordinate travel arrangements of the branch office with Head Office as required.
  •  Prepare/assist with courier parcels for dispatch, arrange for courier pickup as necessary.
  •  Ensure that each new recruit is allocated a workstation, stationery supplies, and other basic requirements prior to commencement of work.
  •  Office maintenance: Arrange servicing of office equipment, e.g. telephones, photocopiers – log maintenance calls, order supplies. Place orders for stationery, office supplies, etc. Arrange regular/ad hoc servicing with service providers, e.g. air conditioners, cleaning, catering. Report and follow up maintenance issues with landlords
  •  Maintain a log of dates of First Aid and Fire Marshall certificates of relevant personnel, as and when required and share the applicable certificates and tracker with the Training Department.
  •  Send out reminders to personnel requiring First Aid or Fire Marshall refresher courses, in accordance with the applicable timelines, and assist with arrangements to attend the courses.
  •  Assist with orientation arrangements and document preparation for new employees.
  •  Assist with arranging Lunch and Learn Sessions, Social Committee Functions and other functions and/or events as may be required from time to time.
  •  Assist to maintain a log of resignation checklists to ensure that all staff are removed from the address books, contact lists, and various electronic platforms when the transition period as documented in the resignation checklist expired.
  •  Assist with other office duties as and when required

Knowledge, Skills and Abilities:

  •  Computer competence (Microsoft Office essential; clinical trial packages are added advantages).
  •  Strong planning, organizing and administration skills.
  •  High degree of accuracy.
  •  Able to identify errors and take corrective action within area of responsibility without compromising quality. Self-motivated, positive attitude with good communication and interpersonal skills.
  •  Ability to handle multiple tasks simultaneously and effectively.
  •  Excellent English language skills.
  •  Ability to work independently and as part of a growing team.

Position Requirements:

  •  Education: National Senior Certificate (matriculation) as a minimum. Further relevant education and courses are added advantages.
  •  Other Requirements: Basic Fire Training and Fire Extinguisher Course to be repeated annually. First Aid Course (Level 1) to be repeated at least every 3 years.
  •  Preferred Job-related Experience: Minimum of 3 years proven experience and success working in a similar position (i.e. preferably in a clinical research setting)

Physical Expectations:

  •  Typical office environment.
  •  Ability to sit or stand for extended periods of time.
  •  Ability to lift or move 5-15 lbs.

  •  Expected travel time is less than 10% for this position.
