Position description

The EIB, the European Union’s bank, is seeking to recruit for its Legal Directorate (JU) – Legal Department, Corporate Issues (CORP) – Corporate, Employment and Litigation Division (CL) at its headquarters in Luxembourg, a (Senior) Administrative Assistant. This is a full-time position at grade 1/2.

The term of this contract will be 4 years.

Panel interviews are anticipated for June 2022.

The EIB offers fixed-term contracts of up to a maximum of 6 years, according to business needs, with a possibility to convert to a permanent contract, subject to organisational requirements and individual performance.

You will provide administrative assistance to the team in line with the Legal Directorate procedures manuals in order to support the Division in providing high-level legal advice and achieving EIB objectives.

Operating Network

You will report to the Head of Division and work with all Division team members (lawyers and assistants), other Directorates and interface with external contacts from outside the Bank to support the Division’s operations.

  •  Prepare and finalize original legal documents, contracts, letters, notes including smartnotes, memoranda, complex reports and presentations while ensuring that agreed procedures and policies are being respected
  •  Proofread the outgoing documents in terms of compliance with administrative procedures and ensure quality control of documents
  •  Assist and ensure follow-up of all procedures (e.g. prepare and circulate legal contributions to internal decision-making documents, prepare and distribute legal advice, ensure due circulation of documents both inside and outside the organisation, ensure electronic and paper archiving)
  •  Carry out general secretarial duties and administrative tasks, including telephone coverage, mail/document control and distribution, filing, organisation of meetings, managing calendars
  •  Prepare draft correspondence on various topics for the Division, including notes, reports, presentations
  •  Provide administrative support to the Division where necessary assisting in the accurate preparation and processing /dispatching of documents ; monitoring MC/CA agenda including JU fiches, preparing or review documentation and information for HoD approval/action
  •  Contribute to the development of the administrative procedures and processes with the guidance of the Principal Operational Assistant and/or Head of Division, initiate improvements and participate in the optimisation of working methods
  •  Build and maintain good working relationships with other colleagues in the Directorate and the Ban


  •  Secondary level education completed with a 2 year certification in a relevant field or secondary level education with equally qualified experience in a relevant field
  •  Formal secretarial training is a distinctive advantage
  •  At least 3 years of relevant, professional post-qualification experience (i.e. in similar or related tasks); experience acquired as administrative assistant in a law firm, corporate legal function, or any other legal environment, is a distinctive advantage
  •  Very good knowledge of the standard IT & office tools (particularly Word, Excel, PowerPoint, and Outlook), Acrobat, common office hardware (e.g. printing and scanning equipment); familiarity with Electronic Documents Management tools, electronic archiving, and reporting tools is an advantage
  •  Excellent knowledge of English and/or French (*) (oral and written) is required.

(*) There may be certain flexibility on this requirement, but limited to particularly suitable candidates who may not yet be proficient in French. If selected, such candidates will be hired on the condition that they build up rapidly knowledge of French and accept that their future career in the EIB may be subject to the attainment of sufficient proficiency in both of the Bank’s working languages.
